Many QR services encode their own address in the code. When the subscription ends or the service disappears, the codes lead nowhere – including on machines that have long been with your customers. With your own domain, that decision is yours.
| ManualPass address | Custom domain | |
|---|---|---|
| Address in the QR code | app.manualpass.eu/p/CODE | docs.your-company.com/p/CODE |
| Who controls the address? | ManualPass | You |
| Redirect when changing provider | not possible | any time, yourself |
| Available | every plan | from Professional |
How it works
- Enter your domain: In the settings, you enter a subdomain, for example
docs.your-company.com. - Set the CNAME: ManualPass shows you exactly one DNS record. You or your IT set it with your domain provider – it takes a few minutes.
- Activation: We activate the domain with an SSL certificate, check that it is reachable and notify you by email.
From then on, ManualPass generates all new QR codes, labels, serial number links and the digital nameplate with your domain. The scan page looks the same as always to your customers.
Practical tip
Set up your custom domain before you print the first labels in series. Codes already printed with the ManualPass address keep working – but only new labels carry your domain.
No lock-in: your codes stay your codes
The Machinery Regulation requires digital instructions for use to remain available for the expected lifetime and at least ten years after placing on the market (Art. 10(7) Regulation (EU) 2023/1230). A lot can happen in that time: a system change, an acquisition, a new service provider.
With your own domain, you keep your options open:
- You own the address. The CNAME record sits with your domain provider, not with us.
- You can redirect. If you change provider, redirect the domain to the new location – the printed codes keep working.
- You get your data. Every PDF can be downloaded from the scan page at any time. After the contract ends, scan pages stay online for 90 days, and on request you receive your documents in a standard format.
Common misconception
“The QR code is mine, so I'm independent.” What matters is not the image of the code but the address inside it. If the domain belongs to the provider, every printed label depends on that provider's contract.
Several brands, several domains
The Business plan includes up to three custom domains. One applies to all machines; you assign the others to individual brands or locations – for example docs.brand-a.com and service.brand-b.com. Each machine then automatically gets the domain of its brand.
| Plan | Custom domains |
|---|---|
| Starter | – |
| Professional | 1 |
| Business | up to 3, e.g. one per brand |
| Enterprise | by agreement |
All plans and prices are on the pricing page. Why the storage location matters over ten years is explained in the guide Instructions for use online for 10 years.
Frequently asked questions
Why does a custom domain in the QR code matter?
Digital instructions for use must remain available for the expected lifetime of the machine and at least ten years after it is placed on the market (Art. 10(7) Regulation (EU) 2023/1230). If the QR code points to your own domain, you decide where it leads – even if you change provider later.
What do I need to do technically?
You enter the subdomain you want in ManualPass and set a CNAME record with your domain provider, which ManualPass shows you. We activate the domain with an SSL certificate and notify you by email, usually within two working days.
Do QR codes that are already printed keep working?
Yes. Labels with the ManualPass address remain valid. Once activated, newly printed labels, serial number links and the digital nameplate use your domain.
What happens to my QR codes if I stop using ManualPass?
The domain belongs to you. You can redirect it to another location, such as your website or a new provider. In addition, scan pages stay online for 90 days after the contract ends, and on request you receive your documents in a standard format.
Can I use the main domain of my website?
We recommend a subdomain such as docs. or service. Your website is not affected, and the CNAME record can be set with any domain provider.
