Branding and brands: your identity behind every QR code

Anyone who scans your QR code should see your company. ManualPass shows your logo and your colour, and keeps multiple brands and locations cleanly separated.

Scan for instructions

The scan page is often the first digital contact between your customer and your company. ManualPass therefore offers two levels for your own identity, depending on the plan: logo and colour, and multiple brands and locations. The Enterprise plan includes all additional features, without limits on machine types and users. The mandatory features such as QR code, scan page and paper request are included in every plan regardless.

QR codes with your own domain from Professional
Multiple brands and locations from Business
All additional features, unlimited machine types and users Enterprise

Your own logo and brand colour

From the Professional plan, you upload your logo and define your brand colour. Both appear in three places:

  • on the public scan page that your customers see after scanning,
  • on the print-ready QR labels in 60, 85 and 120 mm,
  • in the emails to end customers, for example to confirm a paper request.

The note “provided via ManualPass” remains discreetly in the footer of the scan page. Your company is in the foreground.

The QR code itself does not change. There is one fixed QR code per machine type that always leads to the same scan page. If you later change your logo or brand colour, your customers see the new identity immediately, including via labels already attached. For your own rating plate, you also receive the QR code as SVG. If the address inside the QR code should be yours too, use a custom domain, such as docs.your-company.com.

The scan page works without an app and without a login, is optimised for smartphones and detects the visitor’s language automatically, in 26 languages. Your logo and colour appear the same in each of these languages.

Multiple brands and locations

From the Business plan, you create multiple brands or locations and assign each machine to one of them. The scan page then shows the name, address, contact, logo and colour of the respective brand.

Typical cases are:

  • Own brands: A company sells machines under several brand names.
  • Importers with several suppliers: Goods from different manufacturers are sold under different brands. Anyone who places products on the market under their own name or trade mark is considered a manufacturer under Article 17 of Regulation (EU) 2023/1230.
  • Multiple locations: Plants or subsidiaries with their own address and their own contact person.

Manufacturer details under Article 10(6)

The machine must bear the manufacturer’s name or trade mark, postal address and website, email address or other digital contact or, where that is not possible, these must be given on its packaging or in an accompanying document (Article 10(6) of Regulation (EU) 2023/1230). The brand details on the scan page supplement this marking but do not replace it.

Make sure that the details for each brand on the scan page match those on the rating plate. You can read more about the obligations in trade under ManualPass for importers.

Logo and brands over many years

Digital instructions for use must be accessible online during the expected lifetime and for at least ten years after placing on the market (Article 10(7) of Regulation (EU) 2023/1230). Because the QR code stays fixed, you can adapt your brand identity, logo or location details during this time without replacing labels. Archived, discontinued machines also remain publicly accessible.

How to organise availability over many years is explained in the guide Instructions for use online for 10 years. What your customers see on the scan page is shown on the Scan page page; roles and approvals for multiple teams are described in Team and approval. All plans can be found under Pricing.

Frequently asked questions

From which plan can I use my own logo?

Your own logo and brand colour are available from the Professional plan. They appear on the scan page, on the QR labels and in emails to end customers, for example for paper requests.

Do the brand details on the scan page replace the manufacturer details on the machine?

No. Article 10(6) of Regulation (EU) 2023/1230 requires the name or trade mark, postal address and a digital means of contact on the machine itself or, where that is not possible, on its packaging or in an accompanying document. The scan page supplements these details but does not replace them.

Do I have to replace QR labels already printed if I change my logo?

No. The QR code per machine type is fixed and never changes. A new logo or a new brand colour appears immediately on the scan page; only if you also want the logo on the label do you print new labels.

Can I manage different brands in one account?

Yes, from the Business plan. You create several brands or locations and assign each machine to one of them. The scan page then shows the name, address, contact, logo and colour of the respective brand.
