The scan page: your instructions on any smartphone in seconds

After scanning, users immediately see the valid documents for their machine type – in their language, without an app, without a login and without tracking.

The scan page is where the digital instructions for use reach the user. It determines whether a technician at the machine quickly finds the right information – and whether the conditions of the Machinery Regulation are actually met in everyday practice.

What do users see after scanning?

The QR code on the machine opens a page in the browser for exactly this machine type. It shows:

  • the designation of the machine type,
  • all documents provided, such as instructions for use, EU declaration of conformity, assembly instructions or safety information,
  • the available language versions,
  • the version and SHA-256 checksum of each file,
  • information about the manufacturer or supplier,
  • the “Request paper copy” form.

No app, account or login is needed. The page is optimised for smartphones and works just as well on tablets and computers.

Open, download, save, print

The Machinery Regulation requires a format that makes it possible for users to

“print and download the digital instructions for use and to save them on an electronic device so that the user can access them at all times, in particular during a breakdown of the machinery […]”

— point (b) of the second subparagraph of Article 10(7) of Regulation (EU) 2023/1230

The scan page therefore provides your documents as PDFs. This is how users work with them:

  1. Scan the QR code or enter the short link.
  2. Select a document and open it in the browser.
  3. Download and save it, for example on the maintenance team’s tablet.
  4. Print it if a paper version is wanted at the workplace.

Practical tip

Recommend in your commissioning checklist that customers download the instructions once. They will then be available even if there is no network at the machine.

26 languages with automatic language detection

The scan page interface is available in 26 languages. It detects the device’s language setting and automatically appears in the matching language. You can upload your documents in up to 26 languages.

Important: ManualPass does not translate documents. You determine which language versions appear through your uploads. Which language is required in each country is explained in the guide Language of the instructions for use.

Versions and checksum visible

Next to each file, the scan page shows the version and the SHA-256 checksum. A checksum is a digital fingerprint of a file: if even a single character changes, the result is a different value. Anyone who wants to check a downloaded file later can compare its checksum with the value displayed.

Notice for consumer products

For products intended for non-professional users or which may, under reasonably foreseeable conditions, be used by them, the safety information that is essential must be supplied in paper format (fourth subparagraph of Article 10(7)). If you flag a machine type in ManualPass as a “Product for consumers”, the scan page states that this safety information is enclosed with the product in paper form.

Common misconception

“With the scan page, paper can be dropped entirely for consumer devices.” That is not true. The essential safety information must still be enclosed in printed form; the rest of the instructions may be provided digitally. Details in the guide Safety information for consumers.

Request a paper copy directly

Users can request a paper copy on the scan page. ManualPass calculates the deadline, reminds you in good time and documents the process. The procedure is described on the Paper request page.

Data-minimising: no tracking cookies

The scan page does not set tracking cookies. The servers are located in Germany. Data from paper requests is used only to handle the dispatch. Learn more under Security.

Frequently asked questions

Do users need an app or an account?

No. The scan page is a normal web page that works in any current browser on a smartphone, tablet or computer. Users do not need to register or log in.

In which language does the scan page appear?

The scan page detects the device language automatically and is displayed in one of 26 languages. Which language versions of your documents are offered depends on which PDFs you have uploaded.

Can users use the instructions offline?

Yes, if they download and save the PDF beforehand. This is exactly what point (b) of the second subparagraph of Article 10(7) of Regulation (EU) 2023/1230 requires: users must be able to access the instructions at all times, in particular during a breakdown of the machinery.

Does the scan page set cookies?

No, the scan page does not set tracking cookies. Users can access the documents without their behaviour being tracked via tracking cookies.
