So far, safety information reaches the machine in roundabout ways: a circular to purchasing, an e-mail to a contact who left long ago. The QR code for the digital instructions for use is already there – it becomes a direct channel to every affected machine.
How to publish a notice
- Choose the type: information, safety warning, recall or security update.
- Write the text: what happened, who is affected and what the operator should do now – optionally with affected serial numbers, action and CVE ID.
- Select machine types: one, several or all.
- Publish: The notice appears instantly on the scan page; if you wish, it is sent to operators by e-mail.
What the operator sees
| Where | Display |
|---|---|
| Scan page at the QR code | coloured notice above the documents, without login |
| E-mail (with ManualPass Service) | title, text, affected machines, link to confirm |
| Operator overview | notice with a “Noted” button |
Practical tip
Write the first line as an instruction (“Check the emergency stop button before starting work”). Whoever sees the notice at the machine usually only has seconds.
Proof in the audit log
Publication, changes, e-mail sending and every confirmation are recorded with time in the audit log. Notices can be ended but not deleted, so you can show later when you informed whom.
Common misconception
“A notice on the website is enough.” Nobody visits the website at the machine. The QR code, on the other hand, is scanned exactly when someone stands in front of the machine – during maintenance, a fault or training.
Security updates for the Cyber Resilience Act
For machines with digital elements, security updates are also listed permanently in the “Security & Support” section of the scan page. This is how you inform users about fixed vulnerabilities and available updates, as the Cyber Resilience Act requires. More under Security & Support.
Frequently asked questions
Who sees a safety notice?
Everyone who scans the QR code of an affected machine – without login, above the documents. Operators with access to ManualPass Service also receive it by e-mail and see it in their overview.
Which types of notices are there?
Information, safety warning, recall and security update. Warnings and recalls are highlighted in red; security updates can include a CVE ID and remain in the list of security advisories even after they have ended.
Can I prove that operators were informed?
Yes. ManualPass records publication, e-mail sending and every confirmation with name and time. In the notice you see who has confirmed and who is still open.
Does this replace reporting to authorities?
No. Reporting obligations towards market surveillance authorities or under the Cyber Resilience Act remain. Safety notices help you inform users, which is often part of these obligations.
Can I delete a notice?
No, only end it. It then disappears from the scan page but remains in the customer area and in the audit log as proof.
