At many machine builders, the service history is scattered: in the technician's head, in the ERP, in e-mails and in folders. When a technician changes or a customer calls after three years, the knowledge is missing. The service record puts it where it is needed – at the machine.

At the QR code, not in the office
The technician scans the QR code on the digital nameplate and taps “Service login”. They stay signed in on the phone and from then on see the record of that serial number immediately with every scan. If only the QR code of the machine type is attached to the machine, they select the serial number from a list.
In the customer area you find the same record with all details: visits as a timeline, all defects, master data to edit and the operator's requests.
Practical tip
Enter the location the way your technicians need it on site – “Hall 2, Line 3, next to press 4” saves the search at the next visit.
Separate from the mandatory documents
The public scan page with the instructions for use and the declaration of conformity remains unchanged and accessible without signing in. The record sits behind it and is visible only to signed-in people. The operator sees only the machines you have assigned to them.
Unalterable and traceable
When it is completed, every report is archived as a PDF with an SHA-256 checksum. Entries are never deleted, only cancelled – with reason, name and time in the log. This gives you complete proof of what was done, when and on which machine, in case of questions about warranty or liability.
Frequently asked questions
Where do the entries in the service record come from?
From the service reports. Every completed report adds a visit, transfers spare parts, creates new defects and marks resolved ones. Master data such as operator, location and interval you maintain in the record itself.
Can I delete entries?
No. Reports are never deleted, only cancelled with a reason. They remain visible in the record with a note, and the cancellation appears in the log with name and time.
Do I need a serial number in ManualPass for every machine?
Yes, the record belongs to a serial number. You create serial numbers under the machine type – individually, as a list or as a range – and then add them to the service. Only serial numbers added to the service count towards the service tier.
Does this also work for older machines or third-party machines?
Yes. Create the machine type as “For ManualPass Service only”. It then does not count towards the machine types of your plan; you simply attach an ManualPass label with a QR code to the machine.
