For many machine builders, service at the customer's site is a source of revenue – yet it is still often documented on paper, in Word or in e-mails. On site, the technician does not know what was replaced during the last visit, reports are retyped, maintenance deadlines are forgotten. ManualPass Service brings all of this together where the machine stands: at the QR code.
How a service visit works
- Scan: The technician scans the QR code on the nameplate and taps “Service login”. They stay signed in on the phone.
- Read the record: They see all previous visits, open defects, installed spare parts and the next maintenance due for this serial number.
- Write the report: Tick off the checklist, enter measurements and spare parts, record defects or mark them as resolved, take photos.
- Get it signed: The customer signs with a finger. The PDF is archived and sent automatically to you, the operator and, on request, to an address on site.
No app, no installation, no implementation project: you invite technicians, set up a checklist – and the first report can be created the same day.
Service record per serial number
Every serial number with its own QR code gets a complete history:
- Visits: maintenance, repair, commissioning or inspection – with date, technician and the report as PDF.
- Defects: open or resolved, with the report in which they were found and remedied.
- Spare parts: what was installed when, with which part number.
- Master data: operator, location in the plant, maintenance interval.

Service report on the phone
The report is built for big fingers and poor light: large buttons, a checklist per machine type with “OK”, “Not OK” or “N/A”, lines for measurements and spare parts, up to eight photos that are already reduced in size in the browser – so that the upload also works on a mobile network. Practical tip
First set up a standard checklist for all machines and refine it later per machine type. The interval in the checklist automatically sets the next due date after every maintenance report.
Maintenance deadlines with reminders
After every maintenance report, ManualPass calculates the next due date from the interval. 30 days beforehand we remind you and the operator by e-mail. Operator access: free for your customers
You invite contacts at your customers. When they scan, they see the record of their own machines: last and next maintenance, reports as PDF. With “Request service” they send you a request by e-mail – with machine, serial number and location. Each operator sees only their own machines, never the data of other customers. Common misconception
“The operator should pay for this.” Operator access is deliberately free: every customer who sees deadlines and reports and requests visits brings you follow-up orders.
Spare parts requests at the QR code
The operator picks parts from the list for their machine – or from the parts that service reports show were installed on their serial number – and sends the request with quantities and an order reference. You receive an e-mail with machine, serial number and location and reply with your quote and delivery time. No shop, no prices in the system, only for logged-in customers. Separate from the mandatory documents
The public scan page with the instructions for use and the declaration of conformity remains unchanged and accessible without signing in. The service record sits behind it, in the service area. Reports are never deleted, only cancelled – with name, time and reason in the log. The signature is a simple electronic signature serving as proof of acceptance.

ManualPass Service is billed by machines under service, not per technician. This lets you involve as many of your own technicians as you like and give every customer an access.

Frequently asked questions
Do I need an ManualPass plan to use ManualPass Service?
Yes. ManualPass Service is an add-on module to Starter, Professional, Business or Enterprise. You book it in the customer area under “Account & plans”; it runs on the same contract year as your plan and is billed annually with it. It is free during the 14-day trial.
Do my technicians need an app?
No. ManualPass Service runs in the phone's browser. The technician scans the QR code on the machine, signs in once and stays signed in. They take photos with the phone's camera, and the customer signs with a finger on the screen.
What does the operator of the machine see?
Only their own machines: last and next maintenance, the service reports as PDF and a button to request a visit. Internal notes and open defects from your point of view stay in the manufacturer area. Access is free for the operator.
Does the service change anything in the instructions for use?
No. The mandatory documents under Article 10(7) of Regulation (EU) 2023/1230 and the service data are technically separate. The public scan page remains accessible without signing in; the service record sits behind the service login.
Can reports be changed afterwards?
No. When it is completed, each report is archived as a PDF with a SHA-256 checksum. An incorrect report can only be cancelled – with the reason, name and time in the log. It remains visible in the record with a note.
Can customers request spare parts through ManualPass Service?
Yes. You store a parts list for each machine type, logged-in operators pick parts and quantities and send the request to you with serial number and location. Prices and order processing stay in your ERP. Spare parts requests are included at no extra charge.
Is this a digital product passport?
No. For machinery there is not yet any obligation to have a digital product passport. ManualPass Service documents the life history of each serial number and is therefore a good basis should a product passport be required later.
Does ManualPass Service replace our field service system?
No, and that is deliberate. Job scheduling, stock, time recording and invoicing belong in your ERP or a field service system. ManualPass Service replaces paper and Word templates where documentation is done today – lean, with no implementation project.
